The Den saves 10–15 weekly hours using ChatGPT Work

Denver family social club The Den has cut significant administrative overhead by adopting ChatGPT Work, reclaiming roughly 10–15 hours per week for strategic work as it plans a second location. The tool helped the small team turn processes that previously took days into tasks that now require only hours, enabling faster responses to licensing opportunities and grant deadlines while preserving staff oversight.

Founder and CEO Chandler Lipe said the platform allowed the organization to consolidate operational knowledge from its first site and apply that framework to expansion. “ChatGPT Work allows us to build the company we need before we have the size or resources of that company,” Lipe said, summarizing how the team leverages the system to scale administrative capacity without adding headcount immediately.

The Den integrated Gmail, Slack, and Google Drive plugins with ChatGPT Work to pull information from multiple systems, analyze context, and propose actionable steps. That cross-system workflow made planning more systematic and repeatable: staff review the outputs and make final decisions, but much of the initial legwork is accelerated by the assistant.

A concrete example came when a liquor-license hearing slot became available on short notice. The Den asked ChatGPT Work to locate and assemble the required documents, identify missing items, and convert files into the formats required by the licensing authority. What had been four days of searching, sorting, and formatting was condensed into about three hours of team review and completion, according to Lipe. The time savings in that single instance illustrate how the tool compresses administrative lead times and reduces the risk of missing time-sensitive opportunities.

The group applied the same process to grant applications. Using ChatGPT Work, The Den shortened application turnaround from roughly three days to about two hours. That speed has allowed the team to pursue more time-sensitive funding opportunities that support operations and expansion planning.

Leaders also report faster decision-making and clearer operational analysis. Lipe said she saves about seven hours a week by using ChatGPT Work to explore options and prepare proposals before engaging the full leadership team. That preparatory work gives meetings a sharper focus and reduces exploratory conversations that previously consumed considerable time.

Head of Programming and Partnerships Brooke used the system to workshop partnership strategies. By feeding examples of past partnerships that succeeded and those that did not, Brooke received a proposed partnership structure to present to leadership. Similarly, General Manager Maia aggregated financial reports, sales data, and inventory figures and used ChatGPT Work to organize that information into a consolidated view of the business, supporting forecasting and purchasing decisions across both locations.

As Chandler Lipe spends more time traveling between locations, she has begun using ChatGPT Voice to turn travel time into productive work: dictating emails, capturing meeting follow-ups, and organizing ideas while they are fresh. She then reviews and sends the drafts at her convenience rather than returning to a growing inbox of pending tasks.

Looking ahead, The Den plans to explore Codex for custom integrations and tooling. Potential projects under consideration include a member app for check-in and class registration, tighter links between point-of-sale systems, and Slack alerts that connect teams across locations. These initiatives aim to further streamline operations as the club grows, though the team emphasizes that development choices will continue to be validated and directed by staff.

Throughout the transition, The Den stresses that ChatGPT Work is a force multiplier rather than a replacement for human judgment. Staff continue to validate outputs and make final calls, positioning the technology as a way to scale administrative capacity so employees can stay focused on the club’s core mission: creating elevated, welcoming spaces for parents and children.

By moving repetitive and time-consuming tasks into a faster, repeatable workflow, The Den has freed up meaningful staff time for growth, strategy, and member experience. The result is a small organization that can operate with the efficiency of a larger team while maintaining hands-on oversight of critical decisions.
